JP Connect Access and Data Use Policy

This page explains who may use JP Connect, what student data may be processed, and what responsibilities apply when accessing institutional services online.

Purpose
JP Connect is the school-owned platform for approved student services and office-managed workflows of St. John Paul II College of Davao. It helps deliver student-facing services and role-based school workflows through one students-first platform while remaining separate from the school's other developing core systems.
Authorized Access
Access to JP Connect dashboards, office tools, and approved school services is limited to authorized users of St. John Paul II College of Davao using their own school Google account. Students, instructors, and authorized school personnel must use only their own assigned school Google account when accessing the system.
Role-Based Use
Students may use JP Connect only for services, records, and functions intended for their own account. Instructors may use JP Connect only to view exam and proctoring schedules assigned to them when those services are activated. Authorized school personnel may access only the records and tools needed for their office responsibilities.
Data Processed
Depending on the service being used, JP Connect may process or display school Google account details, user roles, student ID numbers, student names, instructor names, courses, year levels, academic term records, attendance-related records, penalty-related records, exam schedule details, proctoring assignments, officer directory information, and administrative activity records needed for system operations.
User Responsibilities
Users must sign in only with their own school Google account, keep their access secure, provide truthful information, and use the platform only for legitimate school-related purposes in accordance with institutional rules and office instructions.
Prohibited Acts
Users must not impersonate another person, use another person's account, attempt to access records beyond their authorization, bypass system restrictions, upload false or malicious content, or use the platform in a way that disrupts operations or compromises institutional records.
Monitoring and Security
System activity may be logged, monitored, and reviewed for security, audit, troubleshooting, and investigation purposes. This may include sign-in activity, role changes, schedule uploads and edits, sanction-related updates, and other relevant system actions needed to protect institutional records and maintain accountability.
Office Responsibility
JP Connect supports school processes, but decisions and accountability remain under the authority of the proper school office. Supreme Student Council matters remain under the Supreme Student Council. Exam schedule preparation, updates, and schedule-related decisions remain under Student Services. Office of Student Affairs workflows remain future-facing until the relevant services are defined and activated in the system. The school remains responsible for the governance and use of records processed through JP Connect.
Misuse and Consequences
Any suspected misuse, identity misrepresentation, unauthorized access attempt, falsification, or deliberate abuse of the system may be referred to the proper school office for review, investigation, and appropriate action under institutional rules and procedures.
Policy Updates
The Institution may revise or update this policy as the system evolves, school procedures change, or additional approved services and office integrations are introduced.
Questions and Accountability
Questions about sanctions, attendance-related records, schedule decisions, office actions, or the accuracy of institutional records should be directed to the proper school office. For exam schedules, schedule changes, or special exam concerns, students should coordinate with Student Services through Mr. Jayson Lao. Technical sign-in or access concerns may be escalated through JP Connect support.
