Institutional standards and data handling practices

Purpose

JP Connect is the school-owned platform for approved student services and office-managed workflows of St. John Paul II College of Davao. It provides a centralized, students-first portal for exam schedules, institutional event records, SSC sanctions, and official clearance transparency while remaining distinct from the school's other developing core systems.

Authorized Access

Access to JP Connect dashboards, office tools, and approved school services is limited to authorized users of St. John Paul II College of Davao using their own school Google account (@sjp2cd.edu.ph). Students, instructors, and authorized school personnel must sign in using only their own assigned institutional account.

Role-Based Use

Students may use JP Connect to view their active exam schedules, check event attendance history, monitor SSC sanction and clearance statuses, browse campus directories, and access their digital Attendance Pass. Instructors may access the platform solely to review assigned exam schedules, room venues, and proctoring duties. Authorized office personnel may access administrative tools strictly within their assigned institutional roles (SSC, Student Services, or System Administration).

Event Attendance and Record Sources

Official attendance records for major institutional events (such as Intramurals, Extravaganza, and convocations) are captured on-campus through the school's physical RFID scanning systems. Following each event, the compiled attendance records are provided to the Supreme Student Council (SSC) and synced into JP Connect for student visibility, sanction calculation, and e-clearance transparency. The in-app digital Attendance Pass serves as an optional, complementary mobile pass for visual verification and designated event check-in points.

Data Processed

Depending on the service accessed, JP Connect processes school Google account details, user roles, student ID numbers, student names, instructor names, academic programs/courses, year levels, academic term records, event attendance logs, SSC sanctions and payment/clearance records, exam schedule rosters, proctoring assignments, officer directories, and administrative audit trails needed for system integrity.

User Responsibilities

Users must sign in only with their own school Google account, keep their session secure, provide truthful information, and use the platform only for legitimate school-related purposes in accordance with institutional rules and office instructions.

Prohibited Acts

Users must not impersonate another person, use another person's account, attempt to access records beyond their authorization, bypass system restrictions, upload false or malicious content, or use the platform in a way that disrupts operations or compromises institutional records.

Monitoring and Security

System activity may be logged, monitored, and reviewed for security, audit, troubleshooting, and investigation purposes. This includes sign-in activity, role assignments, exam schedule uploads and edits, sanction and clearance updates, and other relevant administrative actions needed to maintain accountability and protect institutional records.

Office Responsibility & Governance

JP Connect provides digital access and record visibility, but all authoritative decisions, records, and policies remain governed by the respective school offices. Supreme Student Council (SSC) matters—including event attendance validation, sanction enforcement, and clearance sign-offs—remain under the authority of the SSC. Exam scheduling, room assignments, and proctoring allocations remain under Student Services. Office of Student Affairs (OSA) workflows remain future-facing until specific services are approved and activated.

Misuse and Consequences

Any suspected misuse, identity misrepresentation, unauthorized access attempt, falsification, or deliberate abuse of the system may be referred to the proper school office for review, investigation, and appropriate action under institutional rules and procedures.

Policy Updates

The Institution may revise or update this policy as platform capabilities evolve, campus operational procedures change, or additional approved office services are introduced.
